A couple of housekeeping items before we get to the updates/reminders.
Attendings please focus on #1 below as it will help your life!
A) This last week the ASAP team met with –
- Disaster workgroup – working to streamline registration and care should a mass casualty occur
- IT security/ambulatory/radiology – hoping to make sure outside rotators have access to eprescribe/dragon/synapse etc immediately
- COPPs – figuring out workflow when our surgical/neurology colleagues place admit orders prior to telling us admission is happening
We continue to try and make sure that our workflow is as smooth and efficient as possible.
B ) There was an ‘upgrade’ in late August which was not supposed to impact us. But we realize since then-
- Status colors aren’t always working – we are investigating
- Notes aren’t always showing up in the inbasket – we are investigating
- Billing reminders aren’t always showing up in the inbasket – we are investigating
- Med student notes cannot be removed from inbasket even when signed – like the blood on Lady Macbeth’s hand, an eternal stain – investigating
We continue to try and make sure life is as easy as possible. Feel free to drop a ticket if inclined to help us try and figure things out.
Whew! Now onto some other stuff – either live or in the hopper.

1) BH Progress Note billing – I am going to stress this to make your life easier!
- Enter the patient chart to sign these notes! Don’t sign them from InBasket!
- Find the note from the MyNote tab in the chart, looking at the list of BH Daily progress notes, and attest from there — the billing sheet automatically pops up
- The billing deficiency will not automatically pop up from InBasket, nor will it be a ‘deficiency’ there and so you will get an email later!
I take the time at the end of my daytime shifts to sign all my BH progress notes from the board and therefore get the bill in my face.

2) EIFs will now fire the ‘red flag’ icon:
We have used that icon for Critical Contingency and Behavioral Plans. Now EIFs!
Please try to keep this icon in the front of your mind as it can help guide care!

3) EX DE for deroomed patients in Extension:
As said in an earlier email, we now have a specific ‘virtual’ room for deroomed patients in Extension.
Please put (have nursing place) the patient in this space once deroomed.

4) Coming soon – Behavioral Health Event Note Smartphrase:
This is a sneak peek for something that hopefully will go live soon.
We will now imbed a smartphrase in the BH Event notes designating the most common events we use these notes for (agitation, restraint, admission, discharge, transfer).
Once this smartphrase is active, these notes now should head to the attendings inbox for co-sign (a problem that has been vexing us for a bit).
Should help make documentation easier too!

5) Coming soon – Sensitive labs on AVSS:
We will activate a lab/diagnostic grouper that will now automatically block sensitive studies from making it to the AVSS.
Things like pregnancy tests, STI testing, drug screens, etc. will soon not make it to the discharge paperwork.
Diagnoses continue to populate the AVSS and isn’t as straightforward a filter as labs so we are still noodling on ways to protect the privacy of our patients.

6) Reminder – BH patients being admitted to BCH facilities (like Waltham) follow the admission workflow
- A Bed Request needs to be placed
- These are not technically ‘transfers’ as they are moving within our institution
